This booklet describes the procedure for using the laboratory’s IT resources.

This booklet is for all new arrivals, whether permanent or non-permanent (such as post-docs, guests, contract staff). Here you’ll find a description of the resources the laboratory can offer you.

Procedure for opening a computer account

This procedure is currently being validated (Oct 9, 14).
You will need to fill in the account application form, which will contain the basic information required (surname, first name, supervisor, end of course date, etc.). The card includes the account closure date. For non-permanent staff, the application must be signed by the person making the request and the person in charge of the laboratory. It is also necessary to read the school’s IT charter enclosed with the account application and return it signed to the IT department.

Your computer account

Whenever possible, the computer account system is shared with the University’s system. The computer account is created in the AMU directory and/or the laboratory directory. Your login and password are unique to you. They enable you to log in by name to all the IT services offered by the laboratory and the University.

Safety rules and common sense

  • Do not divulge your login and password to third parties. × Don’t lend your account to anyone else: computer accounts are strictly confidential.
    personal.
  • Do not install programs on your PC that contravene the school’s IT charter, such as “Peer to peer” software for exchanging files with licensed or copyrighted content (DivX movies or mp3 files).
  • Do not respond to SPAM. Do not click on SPAM links. Do not open SPAM attachments. Beware of messages with dubious or abstruse content.

How do I request computer assistance?

All requests for assistance should be sent by e-mail to i2m-support@univ-amu.fr, giving as much detail as possible about the request. Specify if necessary: building, office, machine name, application, symptoms, error messages, etc …

Closing the IT account at the end of the contract

If you are a trainee or part-time employee, your IT account will be deleted at the end of your contract. Alert messages will be sent to you in the weeks leading up to the closure of your account to warn you of the forthcoming closure.
You must then take the necessary steps to retain and back up the data you need after your departure, otherwise the data in your account will be destroyed some time later.
You will need to contact the IT department if you need to extend your account or back up any data.
Unless an extension is requested and justified, computer accounts will be permanently closed:

  • 6 months after completion of a thesis or internship
  • 3 months after the end of a short-term internship (<= 3 months)

Messaging

The messaging service is that of the University of Aix-Marseille. To access Webmail from your browser: https: //ent.univ-amu.fr
To set up Thunderbird correctly for reading and sending mail, follow the instructions on http://dud.univ-amu.fr/content/configurer-ma-messagerie-sous-thunderbird.
To change your e-mail password, go to https://sesame.univ-amu.fr and log in with your username and password.

Mailing lists

Internal mailing lists can be found at https://test.i2m.univ-amu.fr/linstitut/informations-ressources/listes-de-diffusion/
They are managed by Pierre Barthelemy (p.barthelemy_at_univ-amu.fr).

Personal web pages

You can create personal web pages in the “public_html” directory in your home directory. Any .html or .php files placed in this directory are immediately accessible.
Personal pages must be consistent with work in the laboratory. They must comply with current regulations (cf. the IT charter available on the Aigle website https://intranet.i2m.univ-amu.fr/aigle/Documents/Documents/14_Charte_Informatique_AMU.pdf under “Administration/Internal documents”).

AMU account

Since January 1, 2014, the creation of AMU accounts has been the responsibility of DRH rather than DOSI. In general, this creation is automatic if the person is known to AMU (Apogée for students, Harpège for AMU staff, Sirhus for CNRS staff at UMRs).

  • people receive their login details by post (students and teachers/researchers)
  • for others, MCT needs to ask for their Harpege code,
  • People must then log on to http://sesame.univ-amu.fr to activate their account.

CMI account

It allows you to :

Mathrice account

The INSMI of the CNRS provides a service platform called Portail des Maths or PLM (for Plate-forme Mathrice), accessible at http://webmail.math.cnrs.fr.

  • a Mathrice account is created if the person is a member of the mathematics community
  • provides access to services (described on http://plm.math.cnrs.fr/services.html) such as journal consultation, a secure cloud hosted in the laboratories, a permanent prenom.nom@math.cnrs.fr e-mail address, etc. plm.math.cnrs.fr
  • to open a Mathrice account, please contact GH or PB.

Personal laptop

  • You need to provide the Ethernet address of your machine’s network card to connect it to the local network, and validate the IT charter available here.
  • in the case of Windows systems, the machine must be equipped with up-to-date antivirus software.
  • the machine must be inventoried, if you are a member of the laboratory.

Workstations

  • some offices have self-service workstations, but you need a CMI account to use them (or a guest account at Luminy).
  • to request the purchase of a new workstation, send a message to i2m-achats@univ-amu.fr, after consulting thelaboratory’s offer. The purchase is validated by the group manager.

Wifi network

  • For short stays, simply request Wifi access from the DOSI (menu Aide->Assistance in ENT) to access AMU Wifi.
  • an AMU account is required to access Wifi AMU or Eduroam
  • if the newcomer already has an account at another university that is a member of the Eduroam consortium (list on http://www.eduroam.fr), he/she can access Eduroam using his/her login at his/her home university (unless he/she is/was a student).

Printers

  • New arrivals must have wired LAN access to print. The list of CMI printers is on this page

Photocopiers, scanners

  • At Château-Gombert, are identifiers issued by ADS or CD?
  • At Luminy, digital copiers are freely available (ask JB to memorize your e-mail address).

Stock of paper and toner cartridges

  • At Luminy, reams of paper are stored in rooms 120, 221 and 322. Anyone can put paper back in without the intervention of an expert 🙂 Toner cartridges are available from JB or PB. In the event of a problem with a copier or printer, please notify JB so that maintenance can be initiated within 24 hours.

Loaner laptops

  • At Luminy, a fleet of loaner laptops is available. The loan period is limited to two weeks (missions, conferences, etc.). They can be borrowed on reservation from JB. If you do not make a reservation in advance, your request may not be honored.

Loaner projectors

  • At Luminy, a fleet of video projectors is available for loan. They can be borrowed on reservation from JB. If you do not make a reservation in advance, your request may not be honored.

Library

  • borrowing identifiers are specific to the library

Mailing lists

  • the newcomer’s contact details (surname, first name, e-mail address, group, team and geographical location) must be sent to PB, who manages the laboratory’s mailing lists.

Access to magazines

  • unrestricted access to the laboratory’s local network
  • from outside, the easiest way is to use your Mathrice account
  • it is possible to use an ssh tunnel, the procedure is documented here
  • the documentation contact is AW.

Storage space, Cloud

  • With a Mathrice account, simply install the seafile software and you’ll have plenty of space to share files with other members of the mathematical community.
  • in the laboratory, it is also possible to have a storage space, accessible by conventional means (ftp, afp, etc.).
  • these two spaces are backed up and can therefore be restored (for a limited time only)

VPN access to the University network

You can connect to the university network via the Internet from wherever you are traveling, on assignment or at home. You’ll be able to access all services as if you were in the laboratory (except for journals).
To find out more about VPN configuration, please refer to the documentation accessible via the university portal (log in) in the “Help” tab.
